iPROCUREMENT, LOGISTICS, STOCKS AND PURCHASE MANAGEMENT
The iProcurement module is responsible for streamlining the entire purchase process and the suppliers’ approach towards the company's value chain. Using the Internet the company can see all information and data of the suppliers, manage the prices charged by different providers, initiate purchase orders via the Internet, manage stocks, consult the current account of articles, etc. It allows the supplier access a web portal where, after logging in and entreating the password, the user does the maintenance of provided products data, responds to query requests, makes automatic replenishment of stock, changes one’s personal data and other features . The buying process starts with a request for quotation to many suppliers, sent through the Internet procurement, or by fax or e-mail. Essentially this query comes to a search of potential suppliers in specialized marketplaces, using the Internet channel of the article you wants to buy. According to the responses of providers the application will choose the best and the second profitable price, delivery date or other criteria. In purchase managing the system analyzes needs of a warehouse warning for replacement stock. The user may require a purchase mediated by the list of needs of the system that issues the purchase to the supplier. Using the application, since it is a web platform, the user at any moment and outside the workplace can respond to a customer about the delivery of a product. For this, just need to check the condition of stock or run the simulated production planning for the article. Workflow production solution integrates management services, planning and production control. Banks Management and Bills of Exchange Control allows to record and control the creation of several company’s accounts in several banks, to control the performed entries, Bills of Exchange, to manage Banks Cash Flow, perform entries, search entries and see extracts. This module can also be integrated with Current Accounts, in such a way that the entries can be performed automatically by the system.

This is a completely customizable module, allowing the definition of Entry Types, opening of one or more accounts for each bank, performing the cash-flow management regarding the received checks, managing accepted Bills of Exchange or to revalidating them, searching each account individually, performing entries with possibility of transfers between banks and/or possibility to pre-program entries, seeing extracts, create and bank extracts, account to account.

GENERAL AND ANALYTICAL ACCOUNTING
Comprising both the general and analytical this module offers a number of automation, efficiency and error prevention, coupled with a comprehensive reporting system for both operational and strategic analysis.

The Accounting Module has an automatic integration with other modules. It has an advanced and complex system of Transactions which enables direct integration in Accounting of all movements at the other modules that contain integration with accounting, such as customer management. Therefore, after parameterization, most of the Company's Accounting is done automatically, preventing the error and allowing a greater dedication of time for conferences and analysis.

The system contains a complete tax management, making printing support, printing templates and automatic generation of official files in accordance with the requirements of some countries, the Annual Return/Declaration and all its annexes, Periodic VAT Statement and Cash Flow Statement.

 

Nowadays, asset management software is an indispensable tool for managing the assets of a company, handling the entire lifecycle of the fixed assets and evaluating the effects in terms of financial choices.

Fixed Assets module of Sistrade® ERP was designed with the basis on the new rules of NAS, and is therefore optimised for this new paradigm.

This tool allows the user an effective management of the entire lifecycle of the goods within a company, to carry out operations related to the good and print reports of depreciation, revaluation and gains and losses.

The user can register factories within the company, which is useful when assigning assets to different locations, as well as for the preview list in order to get a more detailed location of assets.

When registering an item, the user can assign a factory, allocate it to a cost centre imported from analytical accounting, assign a supplier, manage warranties of an asset and assign a policy of insurance company. Using Integrated Accounting module, the user can associate accounts (NAS, depreciation), so that each time when the processing is performed, the resulting values are automatically exported to the account. It allows the Lease-purchase of goods by associating an entity and all data necessary for that possibility, such as Value, Interest Rate, Month Instalment, etc. In the sheet of assets, the user will also have an easy access to all history of all processes related to the asset.

Regarding depreciations, it is possible to use a fee specified in the legal decrees with the date of purchase, or a fee set by the user manually justifying the use. Depreciations are carried out in two periods: Annual fee and Monthly fee, and two methods: Straight Line and Declining Balance.

The structure of Ordinances and Decrees serves to perform revaluations. In the Ordinances are introduced all the coefficients of the currency devaluations published in the official gazettes of the country (legal newspaper of the country); Ordinances are associated in the Decrees, in a statutory revaluation a decree must be indicated; otherwise it is a free revaluation.

EMPLOYEE REGISTER
Each employee will have a sheet where all the information relevant to the company will be recorded. The register is organised into various sections in order to facilitate the completion of the data. It is possible to fill in such data as: personal data, professional data, data related to IRS and Social Security, remunerations and fixed withholdings, history, etc. The user can also add an employee photo or attach any file or document related to the employee (e. g. a photocopy of ID).



MANAGEMENT OF WORK SCHEDULE
It is possible to define fixed work schedule or work schedule by shifts. It is possible to define the work periods associated to each work schedule. As for rotating shift schedules, the user can define monthly schedules, indicating the shifts that should be working during certain periods.

MANAGEMENT OF ABSENCES
It is possible to mark absences of each employee or a group. The user has access to a monthly calendar or can select all the employee absences to be viewed. The application also allows interaction with the time clocks in order to automate the process of marking of absences and overtime.

AUTOMATIC SALARY PROCESSING

The application allows generating the PS2 files for salary payments of the employees. The user can generate PS2 files for various types of processed receipt, or in case of using different types of bank accounts to make payments.

There is a possibility to manage training courses in the company. The user can define various modules for each training course. After training courses are registered, the user can easily manage application and attendance. The interface allows the user to indicate if the employees attended the entire training course.



MANAGEMENT OF SAFETY, HYGIENE AND HEALTH AT WORK (SHHW)
Management of all the information related to the safety and health at work. Possibility to register Consultations/Examinations of employees, Accidents at Work and Occupational Diseases. Possibility to register risk factors (physical, chemical, biological, etc.), and to manage deliveries of Personal Protective Equipment (PPE) to the employees.

All the registered information allows automatic generation of ANNEX D of Annual Report (Annual Activity Report of Safety and Health at Work Service).



MANAGEMENT OF PUNCHES OF A TIME CLOCK
It is possible to define the structure of the time clock file which will be imported. The system automatically imports the management of punches of a time clock. There is a possibility to view all the imported records or only those one that are inconsistent. Through a simple interface, the user can handle records with inconsistencies.

The solution of Estimating or Offers developed by SISTRADE enables organizations to formulate Estimate or Offer in a structured way and based on parameterizations that allow responding to the customers in the shortest and in convenient period of time. Using Sistrade®software customer or vendor, anywhere in the world via the Internet can enter the initial data of the estimate for subsequent calculation of the estimator. The estimate may be performed based on work already repeated or created as new work, after the registration system determines the cost price and calculates the margins.
The Estimate’s draft can be based on a set of services set up between the organization and its customer, which contains the price of each service, called Service Pricing. Alternatively, and in a broader perspective instead of considering the services separately, they can be defined as a set of Product Pricing, which the customer confirms while the price of each product is defined a priori.
MIS | ERP Sistrade® Print , while preparing an estimate, allows controlling the information provided by the customer (models, colour proofs, photos, ...) immediately calculates all costs associated with work including the general components and preparation costs, production costs, shipping and transportation costs, assessing the measures of the work format, costs of resources/machines, setup times and their needs; operations costs including subcontract stages; overall cost with cost/benefit identification; At the end financial margins are applied, with banks rates, fees, administrative costs, fixed costs, rappel, etc. Estimate or Offer is printed in the language and currency of the client and can be sent via email reducing the reply time. After the estimate calculation for the base quantity is completed, Sistrade® software allows the calculation estimating values for other quantities based on the estimate for the basis amount.

Typically it is an area that uses technology solutions to automate the process of filling, cleaning, CIP (cleaning in place), washing, although it is lacking in the use of control and supervision system of the entire industrial park, or even in the implementation processes that optimize the logistics process. TECHNICAL ESTIMATING OF PLASTIC EXTRUSION
The extrusion is undoubtedly a complex process that requires advanced technology in terms of machinery and naturally, supported by an information system with data acquisition makes production more efficient and of higher quality.

Since we consider that the extrusion industry has greater importance when associated with the processing of plastic, we directed our efforts towards the development of tools and technological solutions that would add value in this sector. There are various methods of extrusion, however, we concentrate on blown film, cast processes.

The extrusion process consists in material pressure through barrel, in order to give the material the same cross-section as the one of the barrel.

SISTRADE presents its innovations for yet another market, providing new integrated solutions for producers of cables and suppliers of transmission and distribution of electricity.

SISTRADE developed specific solutions for this sector in order to manage and control the production of cables. The system is prepared to work with insulated cables (low, medium and high voltage), including underground and submarine cables; bare aerial conductors; aluminium or copper cables; and other types of cables.

PRICE LIST
The management of price lists is a useful feature for companies that work with product catalog, it allows to generate multiple views relating the articles provided for the customer. Setting of a price list is based on defining the rules of pricing, where, for each sub-family, the user defines features of the article that influence the price. Thereafter, specific prices per customer or market prices for generics can be set. Thus, when issuing an order confirmation, the system automatically gathers the information that is defined in the price list.

MANAGEMENT OFFERS
From a broader perspective of marketing communication with customers and for the customers who request quotations for various products, the reception of multiple estimates becomes difficult. In this sense, the management offers module, which allows grouping a set of estimates in one document, was issued; it enabled the communication with the client to be referenced only by that entity/document. The management offers allows each of the selected estimates set the currency and unit to send the offer. The rates for the various estimates are grouped and may be sent in a letter with the outcome of the overall offer. The submission of the offer could be also followed by an automatic email. It is possible to set a delivery schedule for each line, phased in time and destination. This definition will later be used by the logistics module to support the dispatch of the material.





ORDERS
The orders module includes features related to the orders management, allowing the retrieval of the list of orders per status (pending, confirmed, approved for production, etc.), per agent, per salesperson, and to elaborate charts with sales analysis per product type, country or agent. The orders through the third party control the credit limit and associated limit, and where the ceiling is exceeded, the order cannot be approved for production until it is validated financially. Several types of costs can be associated in each order row (agent commissions, shipping costs) and still several types of discounts (up to 3 commercial discounts levels). Like in the estimate, the order is issued in the customer’s language and currency. For each line it is possible to set a plan for deliveries, phased in time and destination. This definition will be later used by the logistics module, to support the dispatch of material.





ORDER WORKFLOW
With the workflow system for order approval it is possible to check every step of the order since its registration. There is also a reporting system where one can set alerts whenever a document changes state.

INVOICING
SISTRADE provides an invoicing module that allows a company to prepare and print invoices and sales charts. Apart from invoicing, the user can create pro-forma invoices, credit notes and debit cards, among other documents. The application makes a summary of the bill where it is possible to make some adjustments regarding the final value.

Using the feature of tracking documents, the user can control the documents generated by the sales module (estimates, orders, delivery notes, JOs, invoices, etc.) and view the list of JOs, customer’s orders or quotations.

This module enables defining an invoice plan, where one can add at once several invoices that may come from different orders or job orders from the same entity. The process is to select which orders one wants to charge and the system creates and sends invoices without human intervention.

The daily sales feature allows getting all the issued business documents with or without VAT. Through the application it is possible to control all the jobs shipped and invoiced. The system allows sending electronic invoices through EDI, thus assuring that the documents are legal.

If necessary, SISTRADE has Electronic Invoicing solutions according to the legal terms. Sistrade®solution allows the issuing entity of the electronic invoice:

:: Encrypt the invoice summary with the Advanced Electronic Signature keys;
:: Send the Electronic Invoice;
:: Archive the electronic document, generating the respective indexing (with data demanded by the law) for later issuing of a periodic list of all the issued electronic invoices during a required period.

The solution allows the receiving entity to:

SISTRADE has experience and know-how to work with the several standard protocols used for this electronic data exchange format in order to assure that the issued document (invoice) data, are converted to the receiving system format and thus integrated.





EXPEDITION
This module is responsible for the management of finished goods expedition. This expedition may be inherent in the invoice itself when it is directly decreased in the finished goods warehouse. The user may create delivery notes for suppliers and for customers. These delivery notes issue the exit of the material accounted as sale and record the quantities and the value. The supplier’s delivery notes are issued so that there can be a material transportation attendance.
